This policy explains what personal information Ariadne Knowledge Works Ltd collects through this website, through Editions and assets we host on the Ariadne platform, and when you work with us. It sets out why we collect it and your rights. We collect as little as we can: this website has no analytics or tracking, and analytics in Editions only runs with your consent.

01

1. Who we are

Ariadne Knowledge Works Ltd (‘Ariadne’, ‘we’, ‘us’) is the controller of the personal information described in this policy. We are registered in England and Wales, company no. 17154391, and our registered office is 10 Scandia-Hus Business Park, Felcourt Road, East Grinstead, Surrey, England, RH19 2LP.

For anything to do with your personal information, email info@ariadneworks.com.

02

2. What we collect

When you ask for a free sample

The free-sample form asks for your name, email address and organisation, what kind of publication you produce, anything you choose to tell us about it, whether you are an agency or studio, and records which page of our site you sent it from.

When you email us or work with us

Your name, contact details and anything you include in your messages, along with the business and billing details we need to quote, deliver and invoice our work.

Files you send us

Publications you send us for a sample or an Edition may contain personal information about other people, such as names and photographs. We use these files only to make your sample or Edition. Where we process personal data on your behalf as part of a paid service, our Terms and a Data Processing Agreement apply.

Technical information

Like any website, our hosting provider receives your IP address and basic details of each request (such as your browser and the page requested) so that it can deliver the site, protect it from abuse and limit repeated form submissions. We do not use this information to identify you or to track you across other sites.

03

3. Readers of Editions we host

When you read an Edition or use an asset hosted on the Ariadne platform:

  • Private or access-controlled Editions: we process your sign-in details and a sign-in cookie so that only people who are allowed to can read it.
  • Analytics, only with your consent: if you agree through the Edition’s cookie banner, we record how the Edition is used, such as pages viewed and time spent reading. Ariadne is the controller of this data. We collect it ourselves, without any third-party analytics tool, and use it to run and improve the platform and to tell the organisation that published the Edition how it is being read. It is stored for us on Cloudflare’s infrastructure and is not shared with analytics or advertising companies. If you do not agree, no analytics data is collected, and you can change your choice at any time using the cookie settings button in the Edition.

See our Cookies page for more detail, including how to change your choice.

04

4. How we use it

We use your information to:

  • Reply to your enquiry and make the free sample you asked for
  • Quote for, deliver, host and invoice our services
  • Keep a record of our correspondence and of work we have done for you
  • Keep this website and the Ariadne platform secure and working
  • Run sign-in for private Editions, and measure how Editions are read where you have agreed to analytics

We do not sell your information, and we do not add you to a mailing list. We will only send you news or marketing if you ask us to.

05

5. Our legal basis

We rely on:

  • Legitimate interests: responding to business enquiries, making free samples and keeping our site secure
  • Consent: analytics cookies in Editions and assets we host, which you can withdraw at any time
  • Contract: taking steps at your request before entering into a contract, and performing a contract with you
  • Legal obligation: keeping financial records as required by law
06

6. Who we share it with

We share personal information only with service providers who process it on our behalf and under our instructions:

  • Cloudflare, which hosts this website and the Ariadne platform, and stores free-sample requests and Edition analytics data for us
  • Resend, which sends us an email notification when you submit the free-sample form
  • Our email and document storage provider, which holds our correspondence and project files
  • Our accountants and professional advisers, where needed

We may also disclose information where the law requires it.

07

7. International transfers

Some of our service providers may process information outside the UK. Where they do, the transfer is covered by UK adequacy regulations or by appropriate safeguards, such as the International Data Transfer Addendum approved by the Information Commissioner.

08

8. How long we keep it

If you ask for a sample or get in touch and we do not go on to work together, we keep your enquiry for up to 24 months and then delete it. Files sent for a sample are deleted within 90 days unless you place an order. Analytics data collected in Editions and assets we host is deleted automatically after 90 days. Before then, we use it to produce aggregated reports, such as total page views and average reading time, which contain no personal information and may be kept for longer. If we do work together, we keep business and financial records for 6 years after the end of the financial year they relate to, as required for tax purposes.

09

9. Your rights

You have the right to ask for a copy of the information we hold about you, and to ask us to correct it, delete it, restrict how we use it, or send it to you in a portable format. You can also object to our use of it based on legitimate interests. To use any of these rights, email info@ariadneworks.com. We will reply within one month.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

10

10. Cookies

This website does not set any cookies. Editions and assets we host use a sign-in cookie where access is restricted, and analytics cookies only with your consent. Our Cookies page explains more.

11

11. Changes to this policy

We will update this policy if what we collect or how we use it changes, and show the date of the latest version at the top of this page.
